Who we are
OpenYear is operated by RegAtlas, LLC ("we", "us"), which is responsible for the information described here. This policy covers openyear.tax, free planning emails, the Planning Letter membership and app access requests. How the OpenYear app handles books and documents is set out on the data and security page.
What we collect
When you request free planning emails: your email address, the signup date, the consent wording version, your subscription or unsubscribe preference, and the source and campaign tags available at signup. We keep the original signup attribution with your contact record, so a later direct visit does not replace it.
When you subscribe to the Planning Letter: Stripe collects your email address and the information needed to process payment. We can access your subscriber email, billing and subscription status, payment history and Stripe customer identifier. We use these to deliver issues and manage your membership. Your full card details are handled by Stripe, not stored by this website. We also keep derived payment-report records: Stripe checkout and subscription identifiers, payment date and status, amounts after refunds, and available signup attribution. These reports are refreshed from Stripe, not from checkout clicks.
When you apply: your email address and, if you give them, the three answers on the form — how your business is taxed, where your books are kept, and your role in the business — plus whether those answers mean OpenYear supports your business yet. We also save the available source and campaign tags, signup date and initial business-fit result. Applying does not subscribe you to free or paid newsletters.
When you visit: the site counts its own visits — which page was loaded, the site or campaign tag that sent you, the country Cloudflare reports, and interactions such as opening the example workflow, seeing an email offer, starting an application or signup, and visiting the paid membership page. These counts record no IP address, no browser details and no visitor identifier. Signup and payment attribution is stored separately as described above.
Before signup, the origin of your visit is held in your browser's session storage until you close the tab. After a successful signup or application, this website sets a first-party cookie named oy_signupfor up to 90 days. It contains a random reference, not your email or tax information, and reconnects later checkout visits with saved signup attribution. It is not used to identify your pageviews. Checkout passes a separate random reference to Stripe; we may also match a payment to an earlier signup using the checkout email address. Stripe's checkout and billing pages operate underStripe's privacy policy and may use cookies for payments and security.
What we never collect here
No tax returns, tax documents, taxpayer identification numbers or business financial figures. The website's forms don't accept them. Payment information is collected separately by Stripe at checkout.
How we use it
- To write to you about your application, and when OpenYear can take your business on.
- To deliver the Planning Letter you subscribe to, manage payments and cancellations, and answer membership questions.
- To deliver free planning emails only when requested, and honor unsubscribe requests.
- To decide which kinds of business to open to first.
- To see which sources and campaigns lead to free signups, supported-business applications and paid memberships.
Applying for app access does not subscribe you to the paid newsletter. We don't sell your information or share it for advertising.
Who processes it
Cloudflare hosts the site and the database the list is kept in. Like any host, Cloudflare handles your connection in order to serve the site; we don't store your IP address. There are no third-party analytics or advertising scripts.
Stripe processes membership payments and hosts the subscription and billing records. Newsletter delivery uses an email service, which receives the addresses and message content needed to send each issue.
How long we keep it
Your application is kept until OpenYear opens to you or you ask us to remove it. Free email contact and consent records are kept while subscribed; after an opt-out we retain the minimum needed to prevent further delivery. Saved campaign attribution, checkout references and reporting records are kept until we delete them or address a removal request. Clearing the browser cookie does not delete those server records. Anonymous visit counts are kept until we delete them.
Membership contact information is kept while we deliver your subscription and resolve billing questions. Payment records may be retained for accounting, legal and payment-provider requirements. If you ask us to stop emails, we retain the minimum information needed to honor that request.
Your choices
You can ask to see the entry we hold for you, correct it, or have it deleted, by writing tohello@openyear.tax. We'll confirm what was changed or removed and explain any records we need to retain. To stop free newsletter emails, use the unsubscribe link included in each issue, reply to an issue or email us. To stop paid newsletter delivery, reply or email us. You can clear site storage and cookies in your browser; this does not unsubscribe you. You can separately cancel membership renewal through the billing link on the membership page.
Children
The site is for business owners. It isn't directed at children, and we don't knowingly collect information from anyone under 16.
Changes
If we change this policy, we'll update it here and change the effective date above.
